PolishTutor Privacy Policy

Linked Labs, LLC ("Linked Labs," "we," "us," or "our") provides the PolishTutor iPhone and Mac applications and the Pola tutoring service (together, "PolishTutor"). This Privacy Policy explains what information PolishTutor processes, why it is used, when it is shared, and the choices available to you.

Information we process

Account and sign-in information

You can sign in with Apple or Google. We receive a provider-specific account identifier and may receive a display name. A sign-in credential may contain an email address, but PolishTutor does not currently retain your Apple or Google email address in its account database. Provider identifiers are protected with a keyed hash before storage.

We also keep an internal Pola account identifier, account creation and update times, device-specific session records, platform, app version, and the last time a signed-in device used the service. Refresh credentials are encrypted or cryptographically hashed as appropriate.

Learning and preference information

PolishTutor keeps a learner database on your device. If you sign in and enable the normal account experience, selected records are synchronized so they can follow your Pola account across supported devices. These records can include:

Bundled curriculum, downloaded speech models, reconstructible lesson resources, raw microphone recordings, and local diagnostic cost records are not synchronized to the Pola account.

Text tutoring information

When you use hosted text tutoring, your message, relevant conversation context, learner preferences, and a compact learner profile are sent through the Pola gateway to Anthropic so Pola can generate a response. The gateway records operational details such as the model, feature, completion status, token counts, duration, and estimated cost. It does not store the raw message or full response in the provider-usage record.

Anthropic states that commercial API inputs and outputs are deleted within 30 days by default, subject to its legal, safety, and contractual exceptions, and are not used to train its models unless the customer opts in. Linked Labs does not opt PolishTutor content into model training.

Speech and live voice information

Lesson speech recognition prefers Apple's on-device recognizer. If the on-device recognizer fails, PolishTutor may retry through Apple's system-managed speech recognizer, which can process a short lesson recording to return recognized text. When you start cloud Free Talk, microphone audio and live transcripts are processed in real time to provide the conversation. Depending on the configured service path, providers may include Pipecat Cloud and Daily for the live session, Deepgram or Soniox for speech recognition, Anthropic for Pola's response, and OpenAI for spoken output.

Linked Labs does not record or store raw microphone audio or full live voice transcripts in its account database. We store limited session records such as start and end times, reserved and consumed seconds, session status, and provider usage totals so we can operate minute balances, prevent duplicate charges, and troubleshoot the service. Learning events created during a conversation, such as a vocabulary result or a short mistake note, can be written to your learner database and synchronized like other learning progress.

Providers may temporarily process or retain content under their own service terms, security policies, and legal obligations. Avoid sharing sensitive personal information in a tutoring conversation.

Purchases and subscription information

Apple processes App Store purchases. We receive signed transaction and subscription information needed to verify access, prevent duplicate grants, restore purchases, calculate shared voice-minute balances, and respond to renewals, billing retry, grace periods, expirations, refunds, or revocations. This can include product and transaction identifiers, purchase and expiration dates, subscription status, storefront, currency, price, and an account-linking token.

We do not receive your full payment card number, bank account number, or Apple Account password.

Support and operational information

If you contact support, we process the information you choose to provide, such as your email address, description of the problem, and attachments. For signed-in users, PolishTutor can also send limited technical diagnostics after a handled speech-recognition failure. These diagnostics can include the app build, operating-system version, preferred device language, requested recognition locale, lesson or conversation feature, Apple error domain and code, on-device or system-managed recognition mode, coarse microphone route type, channel count, sample rate, input-buffer count, attempt number, and elapsed time. They are linked to the internal Pola account and session so repeated failures can be investigated. They do not include microphone audio, recognized text, the phrase being practiced, an email address, or an advertising identifier.

Our hosting and network providers also process routine connection and security information, such as IP addresses and service logs, to deliver and protect the service.

Product analytics and app error information

PolishTutor sends a limited set of product events and app exception reports to PostHog. Product events can include app launch, onboarding completion, lesson and drill milestones, selection and completion of a subscription or voice-time purchase, and Apple Ads campaign attribution for an App Store install. Depending on the event, properties can include the internal Pola account identifier after sign-in, a PostHog-generated anonymous device identifier, platform, app and operating-system details, a durable lesson identifier, coarse lesson category, question counts, daily-goal selection, StoreKit product identifier, purchase type and environment, and campaign, ad group, keyword, ad, country or region, conversion, claim, and placement identifiers supplied by Apple.

Automatic exception reports can include the exception type, message, stack trace, app build, operating system, device type, and nearby technical context supplied by the SDK. PolishTutor does not intentionally send microphone audio, transcripts, recognized text, typed tutor messages, lesson phrases, email addresses, display names, free-form feedback, IDFA, Apple attribution tokens, or StoreKit transaction identifiers to PostHog. Automatic screen capture is disabled, and PolishTutor does not enable PostHog session replay.

These providers may process information in the United States and other countries where they operate. We do not authorize them to use PolishTutor learner content for their own advertising.

Retention and deletion

We keep account, synchronized learning, entitlement, and usage records while your Pola account is active and as needed to provide the service. Routine operational logs that may identify a user are generally kept for no more than 30 days unless a longer period is required for security, fraud prevention, dispute resolution, or law.

Product analytics and app exception events may be kept longer than routine operational logs when reasonably needed to measure longer-term feature use, investigate recurring failures, and improve PolishTutor. We delete or de-identify them when they are no longer reasonably needed, subject to provider retention and legal obligations.

You can delete your Pola account in Settings > Pola account > Delete account on iPhone or Mac. Deletion signs you out, revokes the server credential used for Sign in with Apple when applicable, and removes the active account record together with associated synchronized progress, sessions, entitlements, transaction links, credit ledger, and provider-usage records from our account database. De-identified App Store notification integrity records may remain. At launch, Linked Labs does not maintain scheduled backups of the production account database. Service providers may retain limited copies under their own security, legal, and infrastructure-retention practices.

Deleting your Pola account does not cancel an App Store subscription. Manage or cancel subscriptions in your Apple Account settings. Apple retains its own transaction and account records under Apple's policies.

Deleting the app removes its local data from that device, subject to Apple's platform behavior. It does not by itself delete your Pola account or cancel a subscription.

Security

We use safeguards designed for the nature of the information, including encrypted network transport, App Sandbox and Keychain protections, hashed provider identifiers and refresh tokens, encrypted Apple credentials, short-lived access tokens, signed purchase verification, and restricted provider keys. No method of storage or transmission is completely secure.

Children

PolishTutor is not directed to children under 13, and we do not knowingly collect personal information from a child under 13. If you believe a child has provided personal information, contact us so we can investigate and delete it. Users who are not old enough to consent under their local law must use PolishTutor only with permission from a parent or legal guardian.

Changes to this policy

We may update this policy as PolishTutor or applicable requirements change. We will update the date above and provide additional notice when required.
